Onboarding checklist
Complete all seven steps to get your first kiosk live.

Step 1 — Sign up
- Go to app.visitorflow.com/signup
- Enter name, work email, and a password (12+ characters)
- Verify email via the link sent to your inbox
Step 2 — Create your workspace
- Enter workspace / company name
- Select a plan (Starter, Professional, or Enterprise)
- Choose your default kiosk locale
Step 3 — Add your first site
- Give the site a name (e.g. "HQ" or "Monterrey DC")
- Enter the address and select the correct timezone
- Set operating hours (out-of-hours message shown outside this window)
Step 4 — Add at least one host
- Go to Hosts → Add host (or import from Google / M365 / CSV)
- Confirm the host email is correct — arrivals are notified here
- Invite the host so they can set their notification preferences
Step 5 — Pair your first iPad
- Option A: install VisitorFlow Kiosk from the App Store, tap "Pair"
- Option B: open kiosk.visitorflow.com in Safari, add to Home Screen
- In the dashboard: Settings → Kiosks → Pair new kiosk
- Copy the 6-digit PIN (expires in 10 minutes)
- Enter the PIN on the iPad — kiosk registers immediately
Step 6 — Send a test pre-registration
- Go to Pre-registrations → New
- Enter your own email as the visitor email
- Select yourself as the host
- Set expected arrival to ~5 minutes from now
- Click "Send invitation" and check your inbox for the QR code
Step 7 — Verify check-in end-to-end
- On the iPad, tap Visitor → I have a QR code
- Scan the QR code from the invitation email
- Confirm the welcome screen shows the visitor name
- Verify the host receives an arrival notification
- Confirm the visit appears in the dashboard live visitor list
Common gotchas
- Kiosk does not appear after pairing: the 6-digit PIN expires in 10 minutes — generate a new one and retry.
- Host did not receive a notification: check that the host email is correct and that email notifications are enabled in their profile. If using a custom sending domain, verify DNS records.
- QR code not recognised: codes are single-use. Generate a new pre-registration if the visitor arrives outside the ±2 hour window or the code was already used.
